• Coordinate lease administration activities with external service providers, including workflow tracking, issue resolution, service delivery performance and improvements.
• Provide administration assistance to the three team systems (ProLease, myBuildings and LinkSafe), ensuring the accuracy, integrity and completeness of portfolio information.
• Act as custodian of property records and documentation, maintaining current lease information, landlord contacts, site details, facilities management records and key property data repositories.
• Coordinate property-related financial administration including purchase orders, invoice processing, vendor creation requests and expenditure tracking in accordance with company policies and procedures.
• Prepare, maintain and distribute regular property reports, portfolio updates, lease administration reports, performance metrics and other management reporting requirements.
• Support the Group General Manager and Head of Property Management through diary coordination, meeting administration, presentation preparation, business review materials and general team support.
• Coordinate team communications around significant property issues.
• Attend to reception and Office Management activities as required and provide support to broader workplace and office services initiatives.

What You'll Bring

• Previous experience in an administrative, coordination or team support role
• Exceptional attention to detail and commitment to accuracy
• Strong organisational and time management skills
• A proven ability to create structure, improve processes and keep tasks on track
• Confidence managing multiple priorities and meeting deadlines
• Intermediate to advanced skills across Microsoft Office Suite, particularly Excel
