ROLE OVERVIEW

We’re hiring an Operations Coordinator to keep business operations running smoothly and to provide executive support to our CEO and leadership by coordinating people, paperwork, and follow-through for creative projects and talent engagements. You’ll step into established workflows, receive clear direction, and have room to improve processes as you build ownership. The role starts part-time, with potential to expand hours and take on broader operational responsibility.

WHAT SUCCESS LOOKS LIKE

• Deadlines, decisions, and next steps are clear; routine work moves to completion with reliable follow through.

• Agreements, financial paperwork, schedules, and records are accurate, organized, and ready for review.

• You resolve routine issues, communicate early when priorities conflict, and protect leadership’s time.

WHO YOU ARE

• You enjoy making systems work. You are precise, resourceful, discreet, and comfortable following up with people at every level.

• You close loops. You follow issues through to resolution rather than stopping at the reminder.

• You turn ambiguity into clarity by implementing workable plans without overcomplicating the solution.

• You stay calm when priorities change and take pride in making ambitious creative work possible.

• You welcome direct feedback, take responsibility for your work, and stay effective when deadlines and priorities shift.

KEY RESPONSIBILITIES

• Operations + Projects: Maintain tasks, deadlines, and trackers; translate decisions into assigned actions and coordinate administrative handoffs with project teams and partners.

• Executive Support: Coordinate scheduling, meeting preparation, designated correspondence, and approved business travel; organize decisions and follow-up for the CEO.

• Financial Administration: Collect and check invoices, receipts, and vendor documents; route approvals, maintain status records, and follow up with the bookkeeper and appropriate partners.

• Contracts + Bookings: Prepare deal memos and booking documents from approved templates and confirmed terms; coordinate review, signatures, deadlines, and booking logistics.
