Recruiting Coordinator

About Luminai

Healthcare operations have always depended on people to bridge the gaps that technology couldn't. It relies on complex manual work to carry out critical internal processes, yet most health systems don’t have enough resources to properly automate these tasks, leaving them stuck in outdated, labor-intensive SOPs.

Luminai structures the chaos, automates the manual handoffs, and deploys end-to-end workflows across every system, providing the integrated intelligence layer to improve processes over time. By delegating to autonomous AI systems those mission-critical workflows that previously expended valuable human time, Luminai allows doctors and administrators to do what they do best: Focus on Patients.

We've raised $60M in funding, including our recent Series B led by Peak XV Partners (formerly Sequoia India), with participation from healthcare-focused Define Ventures and continued support from General Catalyst and Y Combinator. We're backed by some of the best investors in Silicon Valley, including Kevin Weil (Chief Product Officer at OpenAI), Arash Ferdowsi (co-founder of Dropbox), Katie Stanton (former VP Global Media, Twitter), and CEOs of companies such as Flexport, Notion, Front, Ramp, and Twitch.

Our team is in-office 4 days a week (Monday - Friday, Wednesday optional WFH) in either San Francisco, California or New York, New York.

About the Role

We're looking for a Founding Recruiting Coordinator to help build a first-class hiring experience as Luminai scales. You'll be the connective tissue between candidates, recruiters, hiring managers, and interviewers by making sure every interaction is smooth, timely, and reflects well on the company.

This is a high-ownership role for someone who thrives on process and detail. You won't just execute a checklist; you'll help shape how Luminai hires, spotting friction points and building the systems that let the team scale without losing the personal touch. Your work will directly impact candidate experience, hiring velocity, and the quality of talent that joins Luminai.

This role is ideal for a coordinator who enjoys fast-paced environments, takes pride in flawless logistics, and wants real influence over how a growing company builds its team.

What You'll Do

• Schedule and manage a high volume of interviews in close partnership with recruiters and hiring teams

• Act as a primary point of contact for candidates throughout the process, ensuring clear, timely, and warm communication at every stage

• Greet and host candidates for onsite interviews, manage interviewer flow, and troubleshoot issues in real time

• Maintain accurate candidate and requisition data in Ashby, keeping hiring teams aligned on pipeline status and next steps

• Coordinate interview logistics end-to-end, including travel, calendars, and cross-team scheduling

• Partner with recruiters and hiring managers to gather requirements for open roles and keep processes moving forward

• Identify gaps in existing recruiting workflows and help design and implement improvements

• Build and maintain interviewer pools, onboarding new interviewers as hiring needs evolve

• Support recruiting events, career fairs, and other adhoc projects as Luminai's hiring needs grow

• Manage confidential and sensitive candidate information with a high level of discretion

What We're Looking For

• 4–6 years of experience in recruiting coordination

• A genuine process mindset, you notice inefficiencies and can't help but want to fix them

• Excellent written and verbal communication skills, with a professional yet approachable tone

• Strong organizational skills and the ability to juggle competing priorities without dropping the details

• Comfort working directly with candidates, executives, and cross-functional stakeholders

• A proactive, solutions-oriented approach to problems, paired with sound judgment and integrity

• Experience with Ashby, Notion, Slack, and Google Suite (Sheets, Docs) preferred

• Bonus: experience coordinating in a high-growth or start up environment
