Office Manager

About Lumafield:    Lumafield was founded in 2019 to upgrade manufacturing.   We are engineers with deep experience across the product development cycle, from initial ideas to shipping hardware, across industries and specializations, who became frustrated by the cost and complexity of modern manufacturing. So we decided to upgrade it.   Engineers make million-dollar decisions every day, and they need tools that give them the greatest possible insight into their products. By offering unprecedented visibility into products, as well as AI-driven tools that highlight problems and generate quantitative data, Lumafield promises to revolutionize the way complex products are created, manufactured, and used across industries. We started with industrial CT scanning, which for us was the most valuable but underutilized tool in the manufacturing toolbox, enabling us to rapidly inspect essential components non-destructively.   We rebuilt the whole system, from X-ray capture, to computer vision analysis, to web-based collaboration, to the entire business model, making the most advanced manufacturing tech more accessible to every industry. Our company, like our platform, is designed for upgrades. We’re building for greater intelligence, autonomy, and speed. For deeper vision, operational excellence, and powerful insights. And then we'll upgrade it all again.   Lumafield is headquartered in San Francisco, CA. and has an office in Cambridge, MA.
About the role:    Lumafield is looking for a proactive, resourceful Office Manager to own the workplace experience across our Cambridge and Everett offices. As a member of the People Team, you’ll create and maintain a workplace where our employees can do their best work, and where every detail reflects the high standards we hold ourselves to.   We're looking for someone who has a strong sense of ownership. You’ll anticipate needs, solve problems before they become problems, and always look for ways to make the workplace better. You'll succeed in this role if you're a self-starter who thrives in a fast-paced environment, has a can-do, figure-it-out mindset, and genuinely enjoys creating an exceptional workplace.   As our Office Manager, you'll be one of the people employees interact with every day. You'll lead by example with a positive attitude, build strong relationships across the company, and help create a workplace that people enjoy coming to. Whether you're welcoming a candidate, setting up lunch, solving an unexpected problem, or helping a teammate, you'll approach every interaction with professionalism, enthusiasm, and a willingness to jump in wherever needed.   This is a full-time, five-day-per-week, in-office role based primarily in our Cambridge, MA office, with occasional travel (10–20%) to our Everett, MA facility.

What you'll do:

• Own the day-to-day operation of our Cambridge office, ensuring the space is stocked, organized, functional, and maintained to a high standard.
• Create an exceptional experience for employees, candidates, customers, vendors, and visitors by maintaining a polished, welcoming, and professional environment.
• Manage day-to-day logistics, including grocery ordering, snacks, beverages, catering, office supplies, shipping and receiving, and mail. This is a hands-on role; you'll regularly unpack deliveries, stock kitchens, prepare and reset meeting spaces, set up and clean up catering.
• Partner closely with our Facilities Manager to coordinate repairs, maintenance, vendors, contractors, and workplace improvement projects.
• Assist with onboarding new employees, own office communications, and provide day-to-day support across our Cambridge and Everett locations.
• Help plan and execute team lunches, celebrations, and office events that strengthen our culture and create a great employee experience.
• Lead by example with a positive attitude and a bias toward action. You’ll proactively identify opportunities to improve the workplace, anticipate the team's needs, and take action without waiting for direction.
• Roll up your sleeves every day. This role regularly involves lifting up to 25 pounds, moving furniture, receiving deliveries, stocking supplies, setting up meeting spaces, and handling the countless details that keep a busy office running efficiently. No task is beneath you if it helps the team succeed.

About you:

• Highly organized with exceptional project management skills and attention to detail.
• Comfortable with hands-on work and willing to roll up your sleeves wherever needed.
• Excellent judgment and follow-through. You reliably get things done.
• Comfortable navigating ambiguity and figuring things out.
• Ability to prioritize competing requests and adapt as priorities change.
• Proactive, resourceful, and positive, with a strong sense of ownership.
• Strong interpersonal skills and the ability to build trust across all levels of the organization.
• Passionate about creating an exceptional workplace and maintaining high standards.
