Executive Support Officer

About the role

This role provides dedicated executive and administrative support to the Director, Northern Regional Coordination, ensuring the effective coordination of priorities, information flow and decision-making across a dynamic regional environment.

Reporting to the Business Manager, the Executive Support Officer plays a key role in supporting the Regional Director to deliver regional priorities, recovery initiatives and preparedness objectives. The role contributes to business continuity, operational readiness and strong stakeholder relationships across government agencies, councils and communities.

As the Executive Support Officer, you will:

• Deliver high-level executive and administrative support, including diary management, meeting coordination and correspondence.
• Assess and prioritise incoming requests to optimise the Director's time and ensure key priorities are progressed.
• Manage calendars, communications and records, including coordinating travel and supporting regional meetings and events.
• Prepare, draft and review correspondence, briefings, agendas, meeting papers, presentations and reports.
• Coordinate meetings and forums, including agenda preparation, minute taking and action tracking, including travel with the Director across the region.
• Support the timely flow of information between the Director, regional teams, government agencies, local councils and other stakeholders.
• Undertake research and collate information to support informed decision-making, planning and coordination activities.
• Provide administrative and coordination support for regional initiatives, recovery programs and stakeholder engagement activities.
• Undertake administrative tasks such as travel bookings, financial reconciliation, procurement support and logistics coordination.
• Maintain and improve administrative systems, processes and practices to support efficient service delivery.
• Monitor actions, commitments and emerging issues to support the delivery of regional priorities.
• Build and maintain effective working relationships to support coordination and collaboration across the organisation and with external stakeholders.

About You
You are highly organised, adaptable and able to manage competing priorities while providing consistent, high-quality support in a confidential environment. You thrive in a fast-paced setting and can effectively coordinate multiple activities while supporting senior leaders and key stakeholders.

To be successful in this role, you will have:

• Demonstrated experience providing high-level executive or administrative support in a professional environment.
• Strong organisational skills with the ability to manage multiple priorities and tight deadlines.
• Proven ability to exercise discretion, judgement and maintain confidentiality.
• Excellent written and verbal communication skills, with experience preparing executive documentation.
• Strong attention to detail and the ability to ensure accuracy and timeliness in all outputs.
• Ability to build effective working relationships with a range of internal and external stakeholders.
• Experience coordinating meetings, events, travel arrangements and administrative processes.
• Proactive and solutions-focused, with the ability to anticipate needs and streamline processes.
• Ability to work effectively in a dynamic environment and support activities associated with regional coordination and recovery priorities.

Knowledge and experience

• Demonstrated experience to provide high-quality executive support services in a professional and client focused manner. 

This role is central to supporting the Director, Northern Regional Coordination, and the delivery of key regional outcomes across the Northern region. You will contribute to the coordination of recovery activities, stakeholder engagement and regional priorities, helping ensure communities continue to receive responsive and effective support during a period of sustained demand and complex program delivery.
