People Advisor

Who we are

The NHS workforce is broken. Clinician burnout is at an all-time high. The UK's temporary staffing bill has hit £8 billion. The way healthcare organisations manage and schedule their workforce is failing.

We built Lantum because we want to change that. Our Connected Scheduling™ platform helps healthcare organisations manage their workforce more effectively, giving clinicians more control over how and when they work and giving organisations the tools to staff more efficiently. Over 50% of UK GP practices and 30% of UK Trusts already rely on us. We've saved the NHS millions and helped thousands of clinicians improve their work-lives. We're rebuilding how this industry operates and we're looking for people who want to be part of that.

About the role

We're looking for an experienced People Advisor to join us on a 6-month fixed-term basis. You'll have ownership of our day-to-day People function, working independently as the sole People professional, so you'll need to be equally comfortable rolling up your sleeves on the operational side and being a trusted advisor to managers when they need guidance.

That breadth is what makes this role interesting. One moment you'll be processing a contract amendment or liaising with payroll; the next, a manager will come to you because someone on their team has been off sick for weeks and they're not sure how to handle it. You're the person they turn to and you'll need to be organised, knowledgeable and calm enough to handle both with confidence.

This role would suit someone who thrives working independently, is comfortable owning a function without a team around them, and can build trust with managers quickly by giving them practical and helpful advice.

Responsibilities

Day-to-day people operations

• Manage contracts, offer letters and employment amendments
• Own new starter and leaver processes end-to-end, ensuring smooth onboarding and offboarding experiences
• Maintain and administer the HRIS, keeping employee data accurate and up to date
• Manage holiday, absence and leave records
• Administer employee benefits and respond to employee queries
• Handle right-to-work checks and employment compliance documentation
• Manage the leaver process end-to-end, including resignation acknowledgements, notice period management, organising exit interviews and ensuring a smooth and respectful offboarding experience
• Manage the relationship with any external HR or legal support, coordinating on employment matters where specialist advice is needed
• Liaise with payroll to ensure changes are processed accurately and on time
• Support the recruitment and talent process as needed - including coordinating interviews, managing candidate communications, onboarding new hires and ensuring a smooth handover from offer to day one
• Own people-related workplace processes, coordinating office supplies, facilities and employee equipment where these impact the employee experience

Supporting managers

• Be the first point of contact for manager queries on people matters, giving clear, practical guidance on policy, process and day-to-day people challenges
• Support managers through new starter onboarding, helping them think beyond the checklist and set people up for success from day one
• Guide managers through probation processes, providing documentation and practical advice at each stage
• Support managers with employee relations matters including absence, performance, disciplinary and grievance processes, providing practical guidance, appropriate documentation and knowing when to seek specialist advice
• Help managers prepare for and handle difficult conversations, knowing when to advise from the sidelines and when to be more hands-on
• Help managers understand how to apply people policies in practice, not just in theory

Policies, compliance and continuous improvement

• Maintain and update people policies, ensuring they are accessible, up to date and reflect current legislation
• Contribute to employee engagement initiatives and help build a positive experience across the business
• Spot patterns in manager queries or employee issues and use them to improve processes and documentation over time

Requirements

About you - We’ll be looking for

• Solid experience in a generalist HR or People role, with strong foundations in both HR operations and advisory work
• Good working knowledge of UK employment law and HR best practice
• Experience supporting managers through people processes - probation, absence, performance and employee relations
• Comfortable working as the sole People person - you're used to owning things end-to-end and don't need a team around you to get things done
• Highly organised with strong attention to detail - you take pride in getting the operational stuff right
• A confident communicator who can build relationships with managers quickly and give clear, practical advice without overcomplicating things
• Calm under pressure and comfortable dealing with sensitive situations with discretion
• Familiar with HRIS systems and comfortable working with data and documentation
• CIPD qualified or working towards it is a plus, but not essential

Interview process

• Talent Screen: We’ll book you in for a quick introductory chat, and to answer any initial questions you might have.
• Meet your manager: We’ll book you in for a first interview with your potential future manager, so you can learn more about the role and we get a deeper understanding of your experience.
• Challenge Interview: This is the “practical” interview stage in the process. We will provide you with a scenario or problem to solve, which enables you to bring your skills to life. This will take place with a group of stakeholders.
• Values Interview: You’ll meet more members of the team to talk about the Lantum Values. This will be an opportunity for them to ask competency questions and also the chance for you to ask questions about life at Lantum.

Our values

We want every employee to live the core values of the business:

• More than me: Our goals are too big to achieve on our own, it takes diverse skills and various people to achieve greatness.
• Care a lot: Doing the right thing isn’t optional. We care a lot about our users, the NHS and each other. We hold each other to the highest standards and earn our reputation every day.
• See it thru: We’re constantly looking for excellence. We take pride in planning and execution of all types of work, and we’re not deterred by bumps in the road or adversity. When we see obstacles, we relish the challenge and keep going.
• Think around corners: We always stay ahead of the curve. All of us share a responsibility to challenge the status quo, think outside of the box, turn problems on their head and turn weaknesses into strengths.
• Bounce back & learn: Being brave, taking risks and trying new things. It’s better to take risks and learn from them and being open to changing from what you learned is what makes us successful.

Please note

We can only accept applications from those eligible to live and work in the UK. We are unable to sponsor visas for this position.

Diversity promise

We believe that a great workplace is one that represents the world we live in and how beautifully diverse it can be. That means we have no judgement when it comes to any one of the things that make you who you are. Everyone is welcome - as an inclusive workplace, our employees are comfortable bringing their authentic whole selves to work. Be you. All you need is a passion and a desire to be part of our mission.
