Team Assistant

About Nebius:

Nebius is leading a new era in cloud infrastructure for the global AI economy. We are building a full-stack AI cloud platform that supports developers and enterprises from data and model training through to production deployment, without the cost and complexity of building large in-house AI/ML infrastructure.

Built by engineers, for engineers. From large-scale GPU orchestration to inference optimization, we own the hard problems across compute, storage, networking and applied AI.

Listed on Nasdaq (NBIS) and headquartered in Amsterdam, we have a global footprint with R&D hubs across Europe, the UK, North America and Israel. Our team of 1,500+ includes hundreds of engineers with deep expertise across hardware, software and AI R&D.

We're looking for a proactive, highly organized Team Assistant to support one of the Managers in the Infrastructure department. In this role, you'll help ensure day-to-day operations run smoothly by providing exceptional executive support and coordinating a wide range of administrative and operational activities. You'll work closely with the Manager and the Executive Support team, handling everything from complex scheduling and travel to team events and operational coordination. Success in this role comes from being organized, detail-oriented, adaptable, and always willing to go the extra mile to get things done.

What you'll do:
1. Executive Support

• Manage a dynamic and complex calendar across multiple time zones, balancing competing priorities and frequent scheduling changes.
• Coordinate domestic and international travel, including visas, accommodation, transportation, and last-minute itinerary changes.
• Organize meetings from end to end, ensuring all logistics and materials are in place.
• Manage expense reports, reimbursements, and other executive administrative processes.
• Coordinate administrative documentation, including NDAs and other required approvals.
• Act as a trusted partner to the Manager of Infrastructure, anticipating needs, removing administrative burden, and ensuring they can focus on the highest-impact work.

2. Operations & Team Support

• Support the planning and execution of team events, off-sites, leadership meetings, and other organizational initiatives.
• Coordinate vendors and external partners, including contracts, procurement, invoices, payments, and related administrative processes.
• Drive operational follow-ups by tracking action items and ensuring timely completion of key tasks.
• Continuously improve and document administrative and operational processes.
• Provide backup support to other Team / Executive Assistants and collaborate as part of the Executive Support team.
• Take ownership of ad hoc operational projects and administrative initiatives that help the organization run efficiently.

What we're looking for:

• Experience supporting senior executives in a fast-paced, dynamic environment.
• Exceptional organizational skills with outstanding attention to detail and accuracy.
• Flexibility to adapt to changing priorities and, when needed, adjust working hours to support executive schedules.
• A willingness to go the extra mile to find the best solution, not just the first one.
• A proactive, service-oriented mindset—you anticipate needs, identify potential issues early, and take pride in delivering high-quality support.
• Strong communication skills, professionalism, and discretion when handling confidential information.
• A collaborative, positive attitude—you build strong relationships and are easy to work with across teams and with external partners.
• Someone who genuinely enjoys executive support as a long-term career and takes pride in enabling others to succeed.

What success looks like

• The Head of Infrastructure can focus on strategic priorities, confident that day-to-day operations are running smoothly.
• Calendars, travel, meetings, expenses, and logistics are handled seamlessly, even as priorities change.
• Team events, leadership meetings, and operational activities are executed with exceptional attention to detail.
• Colleagues know they can rely on you to get things done accurately, efficiently, and with minimal follow-up.
• Administrative and operational processes become more efficient through your attention to detail and commitment to continuous improvement.
• You become a trusted and dependable partner who enjoys helping others succeed and takes pride in making their work easier.

Benefits & Perks:

• Competitive compensation
• Career growth and learning opportunities
• Flexibility and ownership
• Collaborative and innovative culture
• Opportunity to work on impactful AI projects
• International environment and talented teams
