Registrar Associate

Thanks for your interest in Success Academy! Running a large, fast-growing, and high-performing network of public charter schools takes a village - families, children, teachers, staff and faculty, advocates, and supporters alike. We are growing fast in New York and expanding to Florida, and we would love to welcome you to our community! We work tirelessly every day to ensure children have access to a fun, rigorous, whole-child education regardless of zip code or economic status. When you join SA, you play a part in giving every student who walks through our doors a fair shot at reaching his or her potential.

As the fastest-growing, highest-performing charter school network in New York State, Success Academy has reimagined public education. Nationally recognized for achieving outstanding academic results for students from all backgrounds and zip codes, we have created an innovative K–12 school model preparing current and future generations of children with the subject mastery and skills to succeed in college and life. We now need results-driven School Registrars to join our school communities.

The Registrar is central to the academic operations of their school. Reporting to the School Leader, the Registrar is the guardian of scholar data — responsible for maintaining accurate academic records, managing adult and scholar rostering, individual scholar scheduling, and monitoring scholars' promotion readiness, including graduation requirements. They own the systems and processes that keep this data accurate, compliant, and current.

Key Responsibilities

Academic Records Management

• Owns the accuracy of academic records across rostering, gradebook, and enrollment data in eSD
• Reviews and approves outputs across academic systems
• Maintains the integrity of records in the systems as the source of truth, and manages downstream consistency across connected platforms

Rostering & Gradebook Management

• Serves as the school-level point of contact for all roster changes, schedule adjustments, and gradebook updates
• Submits and reviews requests through the academic operations portal
• Resolves exceptions and non-standard cases that require direct intervention
• Identifies and escalates recurring data discrepancies across systems
• Manages scholar ELL statuses and testing accommodations, ensuring continuous compliance and accuracy throughout the year

Assessment Operations

• Manages assessment security and execution logistics, including ensuring secure storage, handling, and distribution of all paper-based (K–1, Regents, and other high-stakes paper-based exams) and digital materials
• Supports faculty and school leaders with the systems used to administer digital assessments

Academic Systems & Data Fluency

• Develops and maintains fluency across all SA academic platforms, staying current as the data ecosystem evolves
• Directs school staff to self-serve data tools and centrally provisioned resources; generates targeted reports for complex needs
• Identifies recurring system and data entry issues, sharing patterns with the network team to drive operational process improvements
• Trains school staff on system capabilities and best practices, fostering a transparent and communicative culture around data accuracy and scholar performance

What We're Looking For

• Demonstrated performance and potential in existing role of Assessment Associate, Assessment Specialist, or Registrar
• Takes ownership: does not wait to be told something is wrong — finds it, flags it, fixes it
• Strong with systems: picks up new platforms quickly and understands how data flows between them
• Process-minded: builds and maintains reliable systems in a role where accuracy is non-negotiable
• Clear communicator: translates data and operational issues into plain language for school communities, quickly and in writing
• Calm under pressure: manages competing deadlines and urgent requests without losing accuracy
• Eager to grow: comfortable in an environment where the tools, workflows, and scope of the role continue to evolve
