Events & Experiences Manager

About us

**
PhysicsX is the physics AI company for industrials. The company’s mission is to accelerate hardware innovation by overhauling what industrial engineering and manufacturing look like today. PhysicsX is building a new simulation software stack to deliver deep physics AI enablement across the entire engineering lifecycle. The company partners with leading organisations in aerospace & defence, automotive, semiconductors, materials, and energy & renewables, supporting them on some of their most critical and complex challenges. PhysicsX is headquartered in the United Kingdom, with offices in London, New York, and Singapore and an expanding presence in the Bay Area.

The Opportunity

We're looking for an Events & Experiences Manager to join our Marketing & Communications team, reporting directly to the Head of Marketing & Communications.

This is a high-ownership role for someone who loves bringing people together and understands that great events are strategic business tools, not just logistical exercises. You'll build and run the events engine that supports PhysicsX's commercial, research, talent, and brand objectives, owning everything from our global event strategy and calendar to the flawless execution of high-impact experiences.

You'll be responsible for two core areas:

• Owning PhysicsX's external event portfolio — identifying, prioritising, and managing our presence across industry conferences, research forums, executive summits, partner events, and talent-focused activities.
• Producing PhysicsX-owned experiences end-to-end — from executive dinners and customer roundtables to technical workshops, launch events, and talent mixers.

You'll work closely with leadership, commercial, research, partnerships, and talent teams, as well as external vendors to ensure every event has clear objectives, exceptional execution, and measurable business impact.

This role requires someone equally comfortable with thinking strategically, negotiating with organisers, sweating the details of a production schedule, and solving unexpected problems five minutes before doors open.

We operate in a fast-moving, high-standards environment where priorities evolve quickly and no two weeks look the same. You'll have significant ownership from day one, the opportunity to shape how PhysicsX shows up around the world, and the chance to work directly with senior leadership on some of our highest-profile initiatives.

What You’ll Do

Own PhysicsX's Global Events Strategy

• Own and maintain PhysicsX's global events calendar across industry, research, executive, partner, and talent events.
• Work cross-functionally to identify and prioritize the highest-impact opportunities aligned to business objectives.
• Develop event strategies and business cases, defining success metrics, budgets, target audiences, and expected outcomes.
• Build scalable planning processes and systems that improve visibility, coordination, and execution across teams.

Deliver Outstanding External Event Programs

• Lead PhysicsX's presence at conferences, partner events, and industry forums, from sponsorship planning and speaker coordination through onsite execution and post-event reporting.
• Coordinate speaking opportunities, booth activations, customer meetings, and hospitality programs.
• Act as the primary point of contact with event organizers, agencies, venues, production partners, and vendors.
• Ensure every event reflects the PhysicsX brand and delivers a premium experience for customers, partners, and candidates.

Produce PhysicsX-Owned Events End-to-End

• Own the planning and production of executive dinners, customer roundtables, technical forums, talent mixers, research workshops, and other owned experiences.
• Manage every aspect of delivery including budgets, venues, suppliers, production, catering, guest experience, registration, logistics, and onsite execution.
• Partner with Design and Communications to develop event messaging, invitations, supporting content, signage, presentations, and follow-up outreach.
• Create repeatable playbooks that enable PhysicsX to scale its owned events globally.

Drive Operational Excellence

• Ensure events are delivered on time, within budget, and to an exceptional standard.
• Conduct post-event analysis and reporting, measuring business impact against predefined objectives and continuously improving future programs.

What Success Looks Like (First 90 Days)

• Build a clear, centralised events calendar covering PhysicsX's priority industry, research, executive, partner, and talent events.
• Develop event planning frameworks, templates, and processes that improve visibility and coordination across the business.
• Successfully deliver several high-profile external events and at least one PhysicsX-owned event with exceptional execution.
• Build trusted relationships across Marketing & Communications, Partnerships, Commercial, Research, Talent, Operations, and Leadership.
• Demonstrate strong understanding of PhysicsX's ICP, strategic priorities, and how events contribute to business growth.
• Establish reporting that clearly measures event ROI, including commercial pipeline, customer engagement, executive relationships, talent outcomes, and brand impact.

About You

• Around 5+ years of experience managing complex B2B events, executive programs, or strategic experiences, ideally within technology, consulting, agencies, or venture-backed startups.
• Proven experience delivering both large external conference programs and high-touch owned events.
• Outstanding project manager with exceptional attention to detail and the ability to coordinate multiple complex workstreams simultaneously.
• Highly organised without becoming bureaucratic — you create structure that helps teams move faster.
• Strong commercial instincts — you understand that every event should have a measurable purpose and business outcome.
• Comfortable working directly with senior executives, customers, researchers, and external partners.
• Excellent communicator with strong stakeholder management skills and sound judgment.
• Calm under pressure and able to solve problems quickly when plans inevitably change.
• High-agency and proactive — you identify opportunities, anticipate problems, and move work forward without waiting for instruction.
• Comfortable operating in ambiguity and building new processes where none exist.
• Willing to travel internationally when required.

Bonus Points

• Experience managing executive hospitality, customer dinners, or C-suite programs.
• Experience working with agencies, production companies, and international venues.
• Familiarity with event technology platforms, CRM integrations, and event reporting.
• Experience supporting product launches, research announcements, or technical conferences.
• Experience working in a fast-growing startup or scale-up environment.

This role is the right fit if:

• You see events as strategic products rather than logistics exercises.
• You enjoy owning ambitious projects from concept through flawless execution.
• You naturally think three steps ahead and rarely get surprised by operational details.
• You care deeply about creating exceptional experiences, whether for ten executives around a dinner table or hundreds of conference attendees.
• You thrive in fast-moving environments where priorities shift and every event presents new challenges.
• You hold yourself to an exceptionally high standard and take pride in getting both the strategy and the smallest details right.
• You use AI to help you work smarter, automate repetitive tasks, and improve planning—but never at the expense of quality or judgment.
