Executive Assistant

Lexroom is building the AI platform where legal work gets done. In just over two years, we've grown from zero to €25M ARR, and today more than 20,000 legal professionals across Italy, Spain, Germany, France, and Bulgaria rely on Lexroom.

We're backed by $73M from Left Lane Capital, Base10 Partners, and Eurazeo, and we're a team of around 300 builders who move fast, say things straight, and own each outcome.

**
Our next goal? Become Europe's most-used legal product.**

Why Lexroom?

• Shape the Standard: Be part of the team setting the benchmark for legal AI in Europe.

• Work with the Best: Collaborate with exceptional colleagues in a culture that values competence, curiosity, and ambition.

• Deliver Meaningful Results: Your work will directly influence how legal professionals operate—faster, clearer, and more efficiently.

At Lexroom, we leave buzzwords behind. Here, you’ll build something that lasts: a trusted platform, a strong reputation, a new standard for the legal world.

Your Key Responsibilities

You'll be the operational backbone for the CEO, CTO, CRO, and Sales Director — keeping their time, priorities, and commitments moving without friction. This is a high-trust, high-context role at a company scaling fast across Italy, Germany, and Spain, with frequent travel across Europe and the US. You will see everything and be trusted with everything.

Calendar & time management

• Own and defend the calendars of four executives with competing priorities; make trade-off calls on what gets scheduled, moved, or declined

• Resolve conflicts proactively before they surface; protect focus time and prep windows

• Coordinate across time zones for international meetings, investor calls, and cross-market work

Travel & logistics

• Plan and book complex multi-leg travel across Europe and the US — flights, hotels, ground transport, visas where needed

• Build detailed itineraries; anticipate disruptions and hold contingency options

• Manage expense reporting and reconciliation for all four executives

Meetings & communications

• Prepare agendas, briefing notes, and pre-reads; capture actions and drive follow-up to closure

• Coordinate board meetings, investor updates, and leadership offsites end to end

• Draft, screen, and prioritize correspondence; act as a filter and first point of contact

Operations & projects

• Coordinate cross-functional initiatives on behalf of the executives, tracking deliverables and unblocking bottlenecks

• Organize internal and external events (team gatherings, investor visits, client dinners)

• Handle confidential documents, contracts, and sensitive information with total discretion

What We’re Looking For

• 3+ years supporting C-level executives, ideally in a high-growth startup, VC/PE, or consulting environment

• Fluent English and Italian, written and spoken

• Proven ability to manage multiple senior stakeholders and make independent prioritization decision

• Exceptional organization and attention to detail; sound judgment under pressure; complete discretion

• Comfort with ambiguity — you’re a problem solver that can make indipendent calls

• Proficiency with Google Workspace, AI tools, Notion and Slack

• Exposure to international, multi-market operations

• Based in or able to relocate to Milan
